Organizer Toolkit

Here are some various processes outlined for the Ambassador program organizers.

Ambassador Applications​

  • When a new application is received, it is added to a working document containing all applications for that quarter.
  • The document containing all current applications is reviewed by TSC members, board members and current Ambassadors.
  • Successful applicants are those who gain "backers" from the review panel.
  • Successful applicants are contacted at the end of the review period, welcoming them aboard.
  • Unsuccessful applicants are also contacted with relevant feedback about their application.

Onboarding​

A call should be organized to onboard the new Ambassadors. As of May 2026, this takes the form of a Zoom call which is open to all Ambassadors to join regardless of when they first joined the program. The call covers the key points of contact, the Ambassador tasks and support available from the Foundation. We are trialing a 90 minute call, where the onboarding is only 20 minutes or so and the rest of the time is available for Q&A and socialising time.

Offboarding and Alumni Network​

Upon completing a successful term, Ambassadors join our Alumni Network:

  • Continued Ambassador Discord channel to answer questions from new Ambassadors.
  • Priority CFP notifications for GraphQL Foundation events
  • Annual Alumni spotlight blog series

Note: The first wave of Ambassadors will not be ending their term until September 2026, the Alumni Network is not yet in place.

Removal of an Ambassador​

  • The Ambassador term is a year long, this gives a natural end to a person's Ambassador role
  • If the Ambassador is found to be breaking the Standards of Excellence, the GraphQL Code of Conduct or the Linux Foundation Events Code of Conduct, the Ambassador role may be removed before the end of their term. The Ambassador Program organizers will engage with the Linux Foundation for this process as needed.
